Venue Finding Agency UK Guide to What Not to Forget at your Next Event

But when you are an event manager with a million and one things to think about, this problem can get even worse. It is easy for even the most experienced event manager to forget something! After all, two minds are better than one! However, as a handy guide for you we have pulled together this checklist to help you when you are planning your event, highlighting some of the things that are most often forgotten about. #1 What are your goals for the event? One of the most common things that is forgotten at events is the actual purpose of the event itself. You can't just hold an event for the no reason, you need to have a legitimate business goal in mind. Then you should keep this goal in mind throughout the rest of the planning activities, such as beverage and food selection, layout and set design. Make sure to check back every couple of weeks to ensure your plans are ticking the boxes to achieve the objectives you initially set out. #2 Put yourself in your delegates shoes When you are organising an event, it can be easy to get bogged down in answering countless emails and making sure you have everything ticked off your list, and sometimes you can forget to step back and assess things. Every decision you make about your event should be thought about from the point of view of the delegate attending, as they may see things differently from the person who is organising the event and who knows the ins and outs. #3 Digital Connections Digital connections are a vital part of any event, yet they are so often forgotten about. First and foremost, you should check Wi-Fi connections, especially if you are planning to stream content. Also make sure you know what the Wi-Fi password is, and have distributed it to your delegates at registration. #4 Communication We are sure you are well versed in the importance of communication and collaboration when it comes to organising an event, but communicating with your team on the day is something that is often forgotten. The most effective way to ensure you can stay in touch with all your team is to use walkie talkies - a little old fashioned maybe but if it's not broke, don't fix it. You could use mobile phones or messaging systems but it could be considered rude to be talking on a phone and messages can easily be missed. Walkie talkies allow you to talk to your whole team in a discrete way. #5 Take some time out It can be easy to fall into the trap of working 7 days a week, 24 hours a day in the run up to an important event but you will be doing yourself no favours. Event management can be a fun job as long as you delegate what you can and manage your time effectively. Make sure you give yourself some time out and a little stress relief otherwise your performance could be negatively affected. #6 Don't forget to debrief Once the event is over, don't forget to have a debrief with your team and even your key suppliers as well. Debriefs are most effective when they are done within 24 hours of an event so don't put them off. Take a hard look at your event and work out what went well and what didn't and how you can improve on this next time. If you do this your events will just keep getting better and better.
